Employee Records

Our HR Administrators use General Data Protection Regulation (GDPR) compliant HR software to set up and securely store employee records. We draft documentation including offer letters, contracts of employment, handbooks, and more, and upload them to the system when they have been approved and signed by all parties. The documents are easily retrievable by managers and employees.

Supporting documentation, including those required for onboarding, such as references, DBS checks, driving licence, medical forms and residency documentation, are uploaded onto the record. These are retained for as long as is necessary. We undertake annual checks on specific documents such as drivers licences and DBS checks, to ensure they remain valid.

Performance reviews and other documentation relating to the employee is stored in their record. This includes holiday entitlement and leave taken, along with records of sickness and other absences.

Accessing Information

Employee records contain personal information, so access must be controlled. The employee has a legal right to submit a request to see the information held in their file. In the vast majority of cases, this is permitted. The Case Manager, who is normally the line manager, can access some information on the HR system or request HR metrics. Controlled access to our HR system allows Individuals to keep their personal information up to date.
